Front Office Assistant - Full Time

Description

Under the supervision of the Vice President, and Human Resources, the Front Office Personnel is responsible for assisting and

overseeing all administrative duties for the corporate office.

  • Demonstrates ability to effectively work with all team members.
  • Manages calendars, meetings for CEO, CMO, and President.
  • Handles travel arrangements for corporate employees and guests as requested.
  • Maintains conference room calendar for scheduling.
  • Creates types, distributes and files meeting minutes.
  • Handles all incoming and outgoing mail/packages appropriately, including opening only appropriate mail to be
  • opened, stamping and sorting to mailboxes.
  • Coordinates, meets, and order supplies with vendors.
  • Makes badges, issue keys, and garage cards, as needed.
  • Orders business cards, name plates, and office supplies, as needed.
  • Assumes responsibility of all master keys and distribution of office keys, as needed.
  • Reconciles Corporate credit account invoices.
  • Maintains Notary status for corporate office.
  • Responsible for ordering of Office supplies
  • Manages CEO/CMO’s CME credits, medical license renewal, malpractice insurance.
  • Acts as liaison for building Management and office vendors.
  • Coordinates holiday Party and additional planned catering events.
  • Coordinates office moves.
  • Assumes responsibility for answering Main office phone
  • Types requested correspondence.
  • Maintains information list and office files.
  • Assembles and prepares handouts, binders and other preparations necessary for Advisory Board Meetings.
  • Coordinates on and off site board meetings for COO/Board President.
  • Tracks, and maintains current documents pertaining to CEO memberships, certificates and license renewals.
  • Ensures delivery, proper correspondence and disclosure of patient related information via mail, email or fax.
  • Performs other duties as assigned.

Job Requirements

Experience

EXPERIENCE:

  • Prefer one (1) year experience in a healthcare administration department.
  •  Must be proficient in Microsoft Office.

Education Required

EDUCATION:

  •  High School Diploma or GED Equivalent
